Keeping you safe at our venues

When organising or attending an event at one of our venues, your health and wellbeing is our top priority. We are committed to helping you meet your on-going business objectives and facilitate sensible socialising, all within a safe environment.

We are continuously monitoring and acting on advice and guidance from the UK government, Public Health England and the World Health Organisation.

Current guidelines for holding an event at a venue

  • All of our venues are Covid-safe and ready to host your next event
  • Weddings and Civil Ceremonies: due to the current Government regulations, a maximum of 15 guests (including bride and groom)
  • Business events: business meetings holding up to 30 people (including speakers, organisers and AV technicians)
  • Due to the current Government guidelines, all event attendees must wear a face covering at all times when in the premises, except when seated at the table in licenced premises. If for any reason you are exempt from this, please inform a member of the venue team on arrival.
    Please note that your guests need to comply with physical distancing rules
  • We are also required to collect, record and retain all your guests’ details for 21 days, and provide them to NHS Test & Trace without delay upon request. We will ask you to comply with the Track & Trace system by checking in via a QR code provided at our venue. Where you cannot use the QR code, we will ask you to provide contact details for one person in your group. The contact details will be stored under  data protection rules and destroyed after 21 days.

Venue pre-event information for event organisers

We want to ensure that you and your guests are familiarised with your chosen venue’s processes and are prepared for what to expect when you visit. Each venue is unique and processes may differ slightly but the venue’s own document will include the following information:

  • Venue accreditations (our venues have either the Visit England ‘Good to Go’, MIA or Hire Space ‘Safer Events’)
  • Each venue will be able to provide a comprehensive risk assessment
  • The protocol on arrival, including which entrance to go to
  • The nearest tubes/mainline train stations and car parks to help guests plan their journey
  • The queueing process and details of any signage
  • What to expect of staff personal protection equipment
  • Details of cloakroom facilities
  • What guests should do if they feel unwell beforehand or whilst at the venue
  • Details of whether temperature checks are being carried out and how
  • Details of track and trace – the venue will ask you to confirm whether this will be your
    responsibility and if all attendee details have been collated
  • Location of toilets and how these are being managed and the frequency of cleaning
  • Whether there will be anyone else using the building at the time of the event, including members or fellows, staff or other events taking place
  • Details of how room capacities have been reduced
  • The protocol for the service of food and drink
  • What the venue will be providing (e.g; cups, cutlery)
  • We recommend a contactless and badge-less registration system to avoid queues and touch points. Your chosen venue team will be able to advise on various apps if you are not familiar
